What is collected about a tenant

Name and phone number are required when an owner registers a tenant. The other details can be filled in later; missing details do not block a check-in.

• Contact: name, phone number, email and alternate phone number.
• Personal details: date of birth, gender and photograph.
• Home and work: permanent address, occupation (student, working or other), and college or employer.
• Emergency contact or guardian: name, relationship and phone number.
• Identity document: Aadhaar, PAN, passport, driving licence or voter ID, recorded as the document type, the last four characters of its number, and photographs of the document. The full number is not kept in the identity-document record.
• For foreign nationals: passport and visa numbers and expiry dates, date of arrival, and when Form C was filed.
• Police verification: whether it is not started, submitted or verified, with the date and reference.
• Consent: who recorded the tenant’s agreement to these details being kept and when, plus the tenant’s own acceptance when they first sign in.

Aadhaar and identity documents

Only the last four digits of an Aadhaar number are ever kept. The owner should ask for a masked Aadhaar copy. Identity documents are deleted 180 days after the stay is settled, or sooner if the owner deletes them.

For a foreign national, the passport and visa details listed above are kept separately as part of their record.

Who can see the details

The PG owner and property managers with edit permission for that tenant’s property can see the full details and identity documents. When their tenant account is available, a tenant sees their own details. View-only managers cannot open the full profile or identity documents.
